Koevoo (hereafter « KV » or « we »), acting as data controller as defined by European Regulation n°2016-679 of april 27, 2016 and the data protection law « Informatique et Libertés » of january 6, 1978 modified (hereafter, together, the « Regulations »), is committed to protecting your personal data and respecting your privacy. The purpose of this policy (hereafter the « Policy ») is to inform you, in accordance with the Regulations, about our practices regarding the collection, use and sharing of the personal information provided through our website, koevoo.tech (hereafter « Website »). This Policy only applies to the processing of personal information that may, directly or indirectly, identify or enable the identification of the users of the Website (hereafter « Personal Data »). Users of the Website may include, but are not limited to, ordinary users, prospects, customers, or candidates for a position at KV (hereafter the « Users » or « you »). The purpose of this Policy is to inform the Users about how we process, use, share and protect the Personal Data, and what rights you have regarding your Personal Data.
1. The data we collect
By using our contact form, you may send us Personal Data, in particular (i) identification data (name, email address, etc…).
Any other use of our Website does not lead to the collection of Personal Data.
2. Why do we process you Personal Data and on what legal bases ?
We use you Personal Data to answer you requests for information and contact formulated on our Website. This processing is necessary (i) to carry out pre-contractual actions to pursue our legitimate interest in communicating on our services in response to your request.
When collecting you Personal Data, you will be informed that certain Personal Data may be required in order to achieve the expected result. Failure to provide mandatory information may lead to the impossibility of processing you request.
3. Who are the recipients of your Personal Data and for what purposes do we share it ?
- Personal Data transferred to the authorities
In accordance with the current Regulations, your Personal Data may be transferred to the competent authorities upon their request or at the request of rightful claimants, including legal representatives in the case of investigating perpetrators of offenses committed on the internet.
- Personal Data transferred internally
The Personal Data collected and processed is transferred to our staff, our accounting department, IT and communication department, and potentially to any internal KV department.
- Personal Data transferred to our service providers
No persornal data is transferred to our partners or service providers.
4. How long do we keep your data ?
Your Personal Data will not be kept for longer than is strictly necessary for the purposes set out in the Policy and in accordance with applicable laws and Regulations. Personal Data used to answer your requests for information and contact are kept for three (3) years from the last exchange with you.
Personal Data used for commercial prospecting and communication purposes is kept for a maximum of three (3) years from the end of the contractual relationship or the last exchange with you. Personal Data used used for recruitment purposes is kept for two (2) years from the last exchange with the unsuccessful candidate unless they agree to a longer retention period. Your Personal Data is deleted when the above-mentioned retention periods expire. However, your Personal Data may be archived beyond these periods for the purposes of researching, establishing and prosecuting criminal offences, with the sole aim of making your Personal Data available to the judicial authorities if necessary.
5. Is your data transferred outside of the European Union ?
We do not transfer your Personal Data outside of the European Union.
6. How to we protect your data ?
We take appropriate technical and organizational measures to protect Personal Data against any unauthorized access, modification, disclosure, loss or destruction. If a service provider is acting on our behalf, we ensure that they comply with their security obligations prior to disclosing your Personal Data.
7. What are your rights and how to exercise them ?
In accordance with Regulations, you have the following rights regarding your Personal Data :

A right of access and information : you have the right to be informed in a concise, transparent, intelligible and easily accessible manner about how your Personal Data is processed. You also have the right (i) to obtain confirmation that Personal Data about you is being processed and, where applicable (ii) to access this Personal Data and to obtain a copy of it.

A right of rectification : you have the right to obtain the rectification of inaccurate Personal Data about you. You also have the right to complete incomplete Personal Data about you, by providing an additional declaration. Should you exercise this right, we undertake to communicate any rectification to all the recipients of your Personal Data.

A right to erasure : in certain cases, you have the right to obtain the erasure of your Personal Data. However, this is not an absolute right and we may, for legal or legitimate reasons, retain your Personal Data for a period of time that complies with the Regulations.

A right to data portability : you have the right to receive the Personal Data we collected about you, in a structured, commonly used and machine-readable format, for your personal use or to pass it on to a third party of your choice. This right only applies when the processing of your Personal Data is based on your consent, on the execution of a contract or if it is carried out by automated means.

A right to object to processing : you have the right to object, at any time, to the processing of your Personal Data for processing based on our legitimate interest, on a mission of public interest or carried out for commercial prospection purposes. However, this is not an absolute right and we may, for legal or legitimate reasons, retain your Personal Data for a period of time that complies with the Regulations.

The right to withdraw your consent at nay time : you can withdraw your consent to the processing of your Personal Data where such processing is based on your consent. The withdrawal of your consent does not impact the lawfulness of the processing carried out prior to such withdrawal.

The right to lodge a complaint with a supervisory authority, in particular the Commission Nationale de l’Informatique et des Libertés : you have the right to contact your data protection authority to complain about our Personal Data protection practices.

The right to give instructions about the fate of your Personal Data after your death : you have the right to give us instructions regarding the use of your Personal Data after your death.

8. Modification ans application of the privacy policy
We may occasionally modify this Policy, particularly to comply with any regulatory, legal, editorial, or technical developments. In the event of substantial changes, we will inform you directly, if possible, of the changes made. We advise you to check this page regularly for any changes or updates to our Policy.
